A well reputed multinational is seeking an Administration Manager who will be responsible for the general administration of the Dubai office.

 



Function:


The Administrative Manager supervises administrative and secretarial employees to assure effective office support, assuring that all office services are provided.

Principal functions of the role would be:

• The management of visas, work permits and labor contracts.
• Liaising with Immigration & Labor Department;
• Renewing of Trade Licenses (together with Legal Dept.) - for the branch;
• Handles Car Leases and arranges transportation services;
• Apartments and Villas - Handles leases, cancellations, renewing thereof;
• Ensures delivery of payments to DU and Etisalat;
• DEWA - establishes new connections, cancellations;
• Medical Health Card - handles the annual renewal thereof together with HR;
• Manages House & Offices Insurance with the Insurance Department;
• Assures maintenance of the offices and accommodation.
• Manages housekeeping & Supplies;
• Assists new joiners in relocation, customs & settling in.
The Administration Manager is also responsible for:
• Managing the day to day running of the office and administrative tasks;
• Applying all policies and guidelines for personnel administration, including reporting;
• Coordinating the administrative staff, including the secretaries;
• Assuring that typing and related administrative and secretarial work is assigned and reviewed;
• Assuring coverage of such critical functions as reception, telephones, mail preparation and delivery, and typing;
• Preparing the administrative budget and monitors expenses. Highlighting areas of concern to the head of HR;
• Assures maintenance of inventory of office supplies and interacts with vendors regarding selection, pricing, and delivery of office supplies, equipment, and services;
• Coordinates the assignment of office space, IT equipment and furniture;

 

 



Level of education: Administration
Drivers license valid for this job offer

Profile:


You will meet the following criteria:

Fluent English and Arabic
Living in Dubai
Degree educated
4 years experience as an Administration Manager
Ability to work in a team and in multi-cultural environments;
Excellent interpersonal and leadership skills;
Planning and organization ability.
Good knowledge of Excel, Word and Power Point
Contacts with local government entities
Knowledge of government procedures
Highly organised, ability to foresee problems
